What is a research data repository?

A research data repository is a managed digital service that accepts, stores, describes, preserves and provides access to research datasets and related digital objects.

A repository normally combines file storage with metadata records, persistent identifiers, access controls, licences, versioning, citation information and a public landing page.

A repository is more than file storage

A storage service keeps files available to authorised users. A repository additionally supports description, discovery, citation, access management, publication, preservation and responsibility for the deposited research object.

Core components of repository publication

Publication in a repository normally combines a defined research object, a structured record, deposited files and explicit conditions of access and reuse.

Dataset

The research files and supporting documentation that constitute the published research object.

Metadata record

The structured description used to identify, discover, interpret and cite the dataset.

Landing page

The stable public page that presents the metadata, citation, access information and available files.

Publication conditions

Access status, licence, restrictions, embargo, version and repository policies governing the resource.

Repository publication workflow

Repository workflows differ, but most include preparation, submission, review and publication stages.

1. Prepare

Organise the files, metadata, documentation, access conditions and reuse information.

2. Submit

Create the repository draft, enter metadata and upload the intended deposit package.

3. Review

Check metadata, files, rights, restrictions, documentation and consistency with repository requirements.

4. Publish

Make the approved record available, assign or activate its identifier and preserve the published version.

A

Access request

Ukrainian: запит на доступ

A formal or technical request submitted by a user to obtain access to files that are not available for immediate public download.

The request may require identification, a statement of purpose, approval by a data owner, acceptance of conditions or a data-use agreement.

Access status

Ukrainian: статус доступу

A metadata value indicating the general availability of the dataset or its files.

Common statuses include open, restricted, embargoed and closed access. Access status should be recorded separately from the licence.

Authorised depositor

Ukrainian: уповноважений депозитар; уповноважена особа, яка депонує дані

A person authorised by the creators, project or responsible organisation to submit and manage a dataset record in a repository.

The depositor may be a creator, data steward, curator, repository administrator or another formally authorised person.

C

Data citation

Ukrainian: цитування даних

A formal reference to a dataset that allows it to be identified, attributed and located.

A data citation normally includes creators, title, publisher or repository, year, version and persistent identifier.

Repository collection

Ukrainian: колекція репозитарію

An organisational grouping of dataset records within a repository.

A collection may represent an institution, department, project, research group, discipline or thematic area and may have its own managers, permissions and deposit rules.

Curation review

Ukrainian: кураторська перевірка

A structured review of a dataset record and deposit package before or after repository publication.

It may cover metadata completeness, documentation, file organisation, formats, access conditions, rights, provenance, integrity and repository compliance.

D

Data availability statement

Ukrainian: заява про доступність даних

A statement explaining where the data supporting a publication can be found and under which conditions they may be accessed.

It may provide a repository name, dataset identifier, access restriction, request procedure or justified explanation of why data cannot be shared.

Data deposit

Ukrainian: депонування даних

The transfer of a dataset, metadata and supporting files into a repository for managed storage, review, preservation or publication.

A deposit may initially remain a private draft and does not automatically mean that the dataset has been publicly published.

Deposit agreement

Ukrainian: угода про депонування

An agreement or accepted set of terms defining the rights and responsibilities of the depositor and repository.

It may address authority to deposit, storage, preservation, metadata distribution, access, licences, withdrawal and liability.

Deposit package

Ukrainian: пакет для депонування

The set of files and metadata submitted to a repository as one managed deposit.

It may contain research data, a README, manifest, structured metadata, scripts, provenance and rights information.

Depositor

Ukrainian: депозитар; особа, яка депонує дані

The person or organisation that submits a dataset and its metadata to a repository.

The depositor is not necessarily the dataset creator and should have appropriate authority to submit and publish the material.

Dataset

Ukrainian: набір даних

A defined and organised collection of data treated as one identifiable research object.

A dataset may include one or many files and may contain raw, processed, derived, simulated or combined data with supporting documentation.

Dataset record

Ukrainian: запис набору даних

The structured repository or catalogue record that describes one dataset.

It normally contains metadata, identifiers, citation, access conditions, licence, related research outputs and links to files or access procedures.

Data publication

Ukrainian: публікація даних

The controlled release of a dataset as a citable and discoverable research output through a repository or another recognised publication service.

Publication normally includes an approved metadata record, stable landing page, defined access conditions, citation and version information.

Data publisher

Ukrainian: видавець даних

The organisation or service responsible for making the dataset formally available as a published research output.

In repository metadata and citations, the publisher may be the repository, host institution or another responsible data publishing organisation.

E

Embargo

Ukrainian: ембарго на доступ

A temporary restriction that prevents public access to a dataset or selected files until a defined date or condition is reached.

The metadata record may remain publicly discoverable during the embargo. The embargo end date and applicable conditions should be stated explicitly.

F

File-level access

Ukrainian: доступ на рівні окремих файлів

Access conditions applied separately to individual files within one dataset record.

A dataset may therefore contain both openly downloadable and restricted files, provided that the differences are clearly documented.

File-level metadata

Ukrainian: метадані окремого файлу

Metadata describing an individual file within a dataset package.

Examples include file name, path, role, description, format, size, checksum, access status and relationship to a workflow step.

L

Dataset landing page

Ukrainian: сторінка набору даних; цільова сторінка набору даних

A stable web page that represents the published dataset and provides its metadata, citation, identifier, access information and links to files or access procedures.

A persistent identifier should resolve to this page rather than directly to a temporary file location.

Licence

Ukrainian: ліцензія

A legal instrument or standard statement defining how a user may copy, modify, distribute or otherwise reuse a dataset.

The licence should be selected by an authorised rights holder and must not be confused with the technical availability of the files.

M

Metadata-only record

Ukrainian: запис лише з метаданими

A repository or catalogue record that describes a dataset but does not contain the dataset files.

The files may be held elsewhere, available only by request or unavailable, but the record should clearly identify the access location or reason for non-availability.

O

Open access to data

Ukrainian: відкритий доступ до даних

A condition in which dataset files can be obtained without a case-by-case access decision.

Open access does not by itself specify the permitted forms of reuse. Those permissions are defined by the licence or rights statement.

Open repository

Ukrainian: відкритий репозитарій

A repository that provides public discovery of its records and supports open access to deposited materials where rights and restrictions permit.

An open repository may also contain restricted or embargoed datasets and should clearly communicate their access conditions.

P

Preservation copy

Ukrainian: копія для довгострокового збереження

A managed copy of a digital object retained to support long-term integrity, authenticity and future accessibility.

It may differ from the user-facing access copy in format, packaging or technical treatment.

Publication status

Ukrainian: статус публікації

The current stage of a repository record within the publication workflow.

Common statuses include draft, submitted, under review, published, superseded, withdrawn and deaccessioned.

Published record

Ukrainian: опублікований запис

A repository record that has completed the required publication process and is available through its public landing page.

Some files may remain restricted even though the metadata record itself is publicly published.

R

Recommended citation

Ukrainian: рекомендоване цитування

The citation generated or provided by the repository for users who refer to the dataset.

It should identify the creators, title, publisher, publication year, version and persistent identifier.

Research data repository

Ukrainian: репозитарій дослідницьких даних

A managed digital service for depositing, describing, preserving, publishing and providing access to research data.

Repositories may be institutional, disciplinary, multidisciplinary, project-based or national.

Repository policy

Ukrainian: політика репозитарію

A documented set of rules governing repository scope, responsibilities, accepted content, metadata, access, preservation, versioning and withdrawal.

Depositors should review the applicable policies before preparing and submitting a dataset.

Restricted access

Ukrainian: обмежений доступ

An access condition under which users cannot download data automatically and must satisfy defined requirements.

Restrictions may arise from privacy, confidentiality, security, contractual, ethical, intellectual-property or scientific considerations.

Rights holder

Ukrainian: правовласник

The person or organisation that holds the relevant legal rights in a dataset or deposited content.

The rights holder may determine or authorise the licence and should not automatically be assumed to be identical to the depositor or repository.

S

Self-deposit

Ukrainian: самостійне депонування

A repository workflow in which an author or another authorised user creates and completes the dataset record directly.

Self-deposit may still include repository moderation, metadata review or curator approval before publication.

Repository submission

Ukrainian: подання до репозитарію

The act of sending a completed or partially completed repository draft for review, approval or publication.

Submission normally indicates that the depositor considers the metadata and files ready for the repository’s next workflow stage.

Superseded version

Ukrainian: версія, замінена новішою

A previously published version that remains part of the repository record but has been replaced by a newer version.

The superseded version should remain identifiable and linked to the current version where repository policy permits.

T

Terms of access

Ukrainian: умови надання доступу

The conditions a user must accept or satisfy before obtaining access to a dataset or selected files.

They may define eligible users, permitted purposes, confidentiality, security, attribution and reporting requirements.

Tombstone page

Ukrainian: сторінка повідомлення про відкликання або недоступність

A persistent landing page retained after a dataset has been withdrawn, removed or made unavailable.

It normally identifies the resource and explains its status without exposing files that should no longer be accessible.

Dataset version

Ukrainian: версія набору даних

An identified state of a dataset resulting from defined changes to files, metadata, documentation or access conditions.

The version should be recorded consistently in the repository record, README, manifest and recommended citation.

Repository versioning

Ukrainian: версіонування в репозитарії

The repository process for recording and publishing changes to an existing dataset record.

Versioning should preserve the history of the research object, distinguish previous and current states and maintain appropriate identifier relationships.

Version of record

Ukrainian: офіційна опублікована версія

The formally published and citable version of a dataset recognised by the repository at a given time.

A later dataset version may become the current version of record while the earlier version remains identifiable.

W

Dataset withdrawal

Ukrainian: відкликання набору даних

The formal removal of a published dataset or its files from normal access because of a serious legal, ethical, security, integrity or rights-related issue.

Withdrawal should follow repository policy. The identifier and a tombstone page may be retained to preserve the scholarly record and explain the change.

Commonly confused concepts

These repository and publication concepts are related but should not be used as synonyms.

Deposit and publication

Deposit transfers data into a repository. Publication makes an approved record formally available and citable.

Repository and catalogue

A repository manages data and files. A catalogue may only index and describe resources held elsewhere.

Access and licence

Access defines how files are obtained. A licence defines what may be done with them after access.

Backup and preservation

Backup supports recovery. Preservation supports managed, long-term integrity, authenticity and usability.

Record update or new dataset version?

Repository policies determine when a change may be made as a metadata correction and when it requires a new dataset version.

Minor metadata correction

Correcting a spelling error or broken link may not require a new scientific dataset version.

File replacement

Replacing a deposited data file usually changes the research object and may require a new version.

New data or analysis

Adding substantial data, calculations or results normally requires a new version or separate dataset.

Changed access conditions

A change in access, rights or embargo may require formal review even when the scientific files remain unchanged.

How to use these terms

Prepare a deposit

Distinguish the dataset, deposit package, metadata record and responsible depositor.

Configure access

Record access status, embargo, restrictions and licence as separate concepts.

Publish and cite

Verify the landing page, citation, identifier, version and public metadata record.

Maintain the record

Apply repository procedures for updates, new versions, supersession and withdrawal.

Explanatory status

These definitions provide practical explanations for repository deposit and research data publication. The policies, licence terms, deposit agreement and technical rules of the selected repository take precedence for a specific deposit.
